Dear Members of the Campus Community,
This is a reminder that starting on January 4, 2023, at 7 a.m., all students, faculty, and staff will need to access their email and calendar by clicking on the “Google Mail” and “Google Calendar” app tiles on login.pugetsound.edu.
When should I stop using Microsoft Exchange?
On January 4, 2023, at 6 a.m. your current email setup will not be able to send or display new emails.
When should I start using Google Mail and Calendar?
Starting January 4, 2023, at 7 a.m. university email will be accessible via Google Mail and Calendar from webmail.pugetsound.edu, mail.google.com, and login.pugetsound.edu.
Will email be unavailable on January 4 at any point in time?
Yes. Email will be unavailable from 6-7 a.m. while Technology Services completes the migration from Microsoft Exchange to Google Mail. Email received between 6-7 a.m. will appear in Google Mail.
Technology Services will move all non-archived mail, calendar items, tasks/to-do items, and contacts to Google for individual user accounts. Email addresses ending in @pugetsound.edu will retain the same address. As a reminder, you will no longer be able to send or receive emails from email addresses ending in @ups.edu.
How can I prepare for the transition?
- Google Calendar
- Familiarize yourself with Google Calendar by visiting calendar.pugetsound.edu
- Create group calendars on calendar.pugetsound.edu
- Review documentation and new tutorial videos on our Getting Started with Google Calendar page
- Google Mail
- Review documentation and tutorial videos on our Getting Started with Gmail page
- Shared Email Accounts
- Review documentation on our Google Groups page
- Please note that Technology Services will not create new shared email accounts or distribution groups until after the transition to Google Mail
- Mobile Devices: Install the Gmail and Google Calendar apps on your mobile device(s)
- If you receive emails to an @ups.edu email address, please notify your contacts as they will need to email you at your @pugetsound.edu email address moving forward
- Delete unnecessary files from Google Drive and Google Photos
- Attend an upcoming training session
What will I need to do on January 4?
- Access Google Mail and Calendar from webmail.pugetsound.edu, mail.google.com, or login.pugetsound.edu
- Recreate your Puget Sound branded email signature: A template from the Office of Communications will be provided on January 3
- Enable browser notifications for new email and calendar reminders
- Add your Google account to your Gmail and Google Calendar apps on your mobile device(s)
- Review settings for Google Calendar and Google Groups
- Remove your Microsoft Exchange account on any mail client where it was previously configured

- Tuesday, January 3; 1-2 p.m.(General overview)
- Thursday, January 5; 10-11 a.m. (Emphasis on Google Mail)
- Thursday, January 5; 2-3 p.m. (Emphasis on Google Calendar)
- Friday, January 6; 10-11 a.m. (Emphasis on Google Calendar)
- Friday, January 6; 2-3 p.m. (Emphasis on Google Mail)
- Additional training will be available after January 6 through Human Resources professional development opportunities
